Private-label coffee checklist.
Prepare product, quantity, packaging and artwork details for a private-label coffee enquiry.
Define the coffee
Select roasted beans, ground, filter or instant coffee. Include coffee composition and roast or soluble format where known. For ground and filter coffee, identify the brewing equipment and discuss grind; specify any required coffee–chicory proportions.
Define the pack
Specify the proposed pack format, net quantity and number of packs. Explain whether artwork is ready or needs discussion. Share the intended destination and required label information so responsibilities can be clarified for the project.
Define the evaluation and next steps
Ask about samples, product availability, minimum quantities and packing feasibility. Confirm the agreed product and artwork before proceeding. Pricing, payment terms and production or dispatch arrangements require a specific proposal and agreement.
Separate the four decisions

A private-label project becomes difficult to compare when one proposal describes coffee only and another includes packing. Ask for a clearly stated scope. Keep the product specification, packing assumption and commercial basis together so changes can be traced to the decision that caused them.

Choose a format around the consumer’s preparation
For roasted beans, describe the intended brewing equipment and beverages, then identify the coffee composition and roast requirements you want to evaluate. For ground coffee, include the brewing method so grind can be reviewed. A single ground product should not be assumed suitable for every brewer.
For filter coffee, distinguish pure coffee from a coffee–chicory blend and state any required proportions. For instant coffee, name the soluble format and formulation. Explain the product experience you want to achieve if the specification is still open, rather than filling the brief with unsupported sensory or quality claims.
Record your target product and pack as separate decisions. If a pack changes, check whether the agreed quantity, artwork and product assumptions also need review. This keeps an early branding idea from becoming an accidental supply commitment.

Keep destination label requirements in the importer or appointed reviewer’s brief. A design approval is different from confirmation that the information is appropriate for the intended market. Do not describe a project as production-ready simply because the artwork looks finished. Confirm the product and pack feasibility, minimum quantities, available supply and commercial details first. Sample arrangements and timing remain specific to the project.
